Financial Tracking System for an E-commerce Company

This fast-growing e-commerce company, specializing in gym lifting equipment, came to us needing clear, centralized financial tracking. Their quick growth across multiple platforms—TikTok, Shop, Shopify, and Amazon—left them unsure of their true financial health. With sales data scattered across platforms and expenses tracked manually, they had no clear way to determine revenues, costs, and profits. This lack of financial clarity made it difficult for them to reinvest confidently back into their business.

Disorganized Finances and Uncertain Spending

  • No Centralized Financial Tracking: Revenue, costs, and expenses were spread across different platforms and systems, making it hard to see a full financial picture.

A Centralized System for Real-Time Financial Insights

To solve these issues, we built a comprehensive financial tracking system in Airtable, consolidating data from various sales platforms and credit card expenses:

Automated Data Import from Sales Platforms:

  • We used APIs to pull sales data daily from TikTok Shop, Shopify, and Amazon, bringing all the data into one central Airtable database.
  • This process provided real-time revenue updates across all platforms, making it easier to compare performance.

Automated Credit Card Expense Tracking:

  • We set up tools to pull business credit card transactions directly into Airtable. Each transaction was automatically categorized by type (e.g., product, general, etc.).
  • This gave the company clear visibility into their spending patterns and a more accurate picture of total costs.

Financial Performance Dashboard:

  • We designed a financial dashboard in Airtable that calculated key metrics like total revenue, cost of goods sold (COGS), gross profit, and net profit—all updated daily.
  • We also added features for tracking manual expenses, wholesale orders, and incoming deliveries to ensure every cost was accounted for.

Detailed KPIs and Reporting:

  • The dashboard provided monthly and yearly financial summaries, breaking down sales by channel (TikTok, Shopify, Amazon, wholesale), expense categories, and costs per product.
  • The client could now easily identify their most profitable channels, see which expenses were highest, and make data-driven decisions about where to invest or cut back.
